The role
The purpose of this role is to support the sales team by managing an order process through to delivery, completing administrative tasks, maintaining accurate sales data and facilitating smooth operations end to end. The role ensures efficient sales process, assists with client inquiries, coordinates communication between teams, and supports overall sales effectiveness. This critical role is focused on optimising and overseeing sales processes to ensure efficiency, accuracy, and fulfilment from order to delivery. The Sales Operations role ensures that sales commitments are met with high standards of operational excellence. We're looking for someone with great attention to detail, the ability to remain organised in a fast-paced environment, and a positive approach to providing sales support. A good level of numeracy and computer skills are also essential for this role.
Key responsibilities
Fiscal Responsibilities
Reduce risk from cost change: Leverage partner promotions and programs with the commitment to uphold the sales integrity of every deal.
Financial Acumen: Understand basic tax implications, exchange rates, and financial dynamics.
Currency Conversion: Confidently convert across all currencies and manage intercompany purchase orders.
Partner Management Responsibilities
Partner Relationships: Maintain regular communication from quote requests to purchase orders and delivery.
Maximise profitability: Understand partner discounts, promotions and programs.
Track and report ETA’s.
Process Responsibilities:
Sales Process Expertise: Familiarity with UK, EMEA, and international sales processes & proactively manage the sales process with assigned Account Directors and respective teams.
Order Processing: Review and verify customer orders for accuracy, including product specifications, pricing, and delivery details.
Data Entry & record keeping: Enter order data into our systems, cross data analysis, ensuring all information is accurate and complete for processing. Maintaining accurate records of inventory and shipments related to partner products and licences.
Strive and maintain operational excellence: Using tools, documentation, and processes to the highest standard.
Rhythm Establishment: Establish weekly, monthly, and quarterly sessions within sales and operations teams to ensure the process is seamless and problems/delays are identified early on.
Collaborate effectively: Establish a high level of engagement with partners, sales teams and delivery teams to ensure timely order fulfilment and on-time delivery.
Platform Mastery: Proficiency in platforms like Salesforce, AX, CCW, and others.
Freight Forwarding: Assist with shipping and receiving processes as needed.
Identify and resolve order discrepancies: Sole aim to ensure a smooth client experience.
Client Responsibilities:
Customer Service: Handle and resolve customer inquiries and complaints related to orders.
Commitment Adherence: Ensure promises and expectations are met.
Client Communication: Consistent communication and responsiveness to clients. Contact clients to obtain missing information or address queries. Liaising with customers, both internal and external with varying levels of seniority.
Relationship Building: Establish and maintain strong client relationships for order contacts.
Reporting Responsibilities:
Weekly reporting: Running and resolving weekly Sales Operations report to ensure Sales Order queue/ contracting is kept to a minimum.
Weekly Communication: Close of play each week issue email to Leaders and relevant stakeholders of update on what is still in queue and why.
